PRIVATE PARTY GUIDELINES
At the discretion of the Club Manager, members may use the Langley Club facilities to host private functions, provided such functions do not interfere with normal day to day club operations, and meet the requirements established by the Board of Directors, as set forth below. Additionally, members are expected to familiarize themselves and adhere to the Club regulations, guidelines and responsibilities set forth in this directory.
As provided for in the by-laws, without compromising the enjoyment of the facilities by all, please observe the following rules:
- All requests for private parties must be submitted to club management at least one week before the date of the event. Party requests are subject to approval by club management and must not conflict with scheduled Club activities. “Rain dates” must be scheduled separately so that others will not be unfairly “bumped” off the schedule. Party requests will be considered on a first come first serve basis. All requests submitted out of this time frame are solely at the discretion of Club management.
- The scheduling of such parties shall be limited to those in which the member is an actual participant. Members are not permitted to arrange for friends to use Club facilities under their name in the member’s absence.
- Members are responsible for informing their guests of the rules and regulations of the Club, including those relating to the use of alcoholic beverages, and smoking of cigarettes, cigars and pipes on Club premises. Violations of these rules and policies could result in termination of the party, with no refund to the member.
- The size of the group is not to exceed 40 persons, including children, and may be further restricted by the Duty Manager depending on daily use by members.
- Children’s parties shall be properly chaperoned/supervised by the member and adult guests. One supervising adult should be present for every five children under 8 years of age. Responsibility for determining the swimming ability of invited children remains with the member host, and must conform to the existing club rules.
- Members are required to provide all of their own supplies, including, food, utensils, refrigeration, etc. and shall not have access to those reserved for Club sponsored social events. Members are also required to remove their supplies and to co-ordinate with Club management the removal of all trash.
- Use of the tennis courts by party guests shall be in adherence with the Club rules and regulations, and those specific limitations posted at the courts, including attire and length of play.
- Availability of the facilities for private party purposes is limited to Memorial Day Weekend to Labor Day Weekend during regular hours of operation. (Note: While evening parties may extend beyond closing time, access to the pool after hours is strictly prohibited.) In no event shall a private party exceed 4 hours.
- Club management may control the volume of amplified music.
- Private party cost shall be a $50.00 fee, regardless of the number of guests. At the time the reservation is made for the party, the member hosting the party will pay the $50.00 cost, check (no cash), to the Langley Club and provide the check to the manager on duty. Party contracts are available in the front office. As indicated in item 4 above, the maximum number of guests will not exceed 40. A guest shall be defined as any non-member party attendee.
- The member hosting the party is required to familiarize himself with the private party rules listed above. Additional copies of these rules will be available in the front office. At party completion and upon request by the member hosting the party, a security walk through with the Club manager will be made of the facilities used for the party
- All guests (non members of The Langley Club) attending a party will sign in on the party reservation form in the party notebook at the front desk before attending a party.
